Do You Really Need a Wedding Planner for Your Wedding in Italy?

So, you’ve decided to get married in Italy. How exciting!

Perhaps you’ve fallen in love with the idea of a beautiful Tuscan villa, a romantic Italian countryside setting, or celebrating with your favourite people over three days of incredible food, wine and sunshine.

But once the excitement settles and you start looking into venues, suppliers, accommodation and all the little details, you might find yourself wondering…

Do we actually need a wedding planner in Italy?

The short answer? Not necessarily!

You can absolutely plan your own wedding in Italy. But depending on the type of celebration you’re dreaming of, having someone with experience to guide you through the process can make things a whole lot easier.

Having planned my own destination wedding in Italy, as well as spending over 12 years working in the wedding industry, I know just how exciting (and sometimes overwhelming!) the planning process can be.

So, let’s talk about what a wedding planner actually does, when you might need one, and when you might be perfectly happy planning everything yourself.

1. Finding the Right Wedding Venue in Italy

Italy has some of the most beautiful wedding venues in the world. From historic villas and countryside estates to castles, boutique hotels and charming little borgos, there’s certainly no shortage of choice.

The tricky part is finding one that works for your wedding.

You might find a gorgeous villa online, only to discover that it doesn’t have enough accommodation, requires you to hire everything from tables to teaspoons, or has restrictions on music and celebrations.

And when you’re planning from Ireland or further afield, it’s not always possible to jump on a plane every time you want to view a venue.

A wedding planner can help you narrow down your options based on your budget, guest numbers, accommodation requirements and the kind of wedding you have in mind.

They can also help you ask the right questions before signing any contracts.

My advice: Before falling in love with a venue, make sure you understand exactly what’s included in the hire fee and what you’ll need to organise separately.

2. Understanding the Real Cost of a Wedding in Italy

One of the biggest surprises for couples planning a destination wedding is how much wedding venue packages can vary.

Some Italian wedding venues operate like hotels, with accommodation, catering, furniture and staff included.

Others are private villas where you’re essentially hiring the property and arranging everything else yourself.

Neither option is necessarily better, but the overall costs can be very different.

You may need to consider:

  • Venue hire and exclusive-use fees
  • Accommodation and minimum-stay requirements
  • Catering, drinks and staffing
  • Furniture, tableware and equipment hire
  • Music, entertainment and sound restrictions
  • Flowers, styling and decoration
  • Transport for guests
  • Wedding planning and coordination
  • VAT, service charges and additional supplier fees

It’s easy to underestimate the final cost when you’re comparing venues that offer completely different packages.

An experienced wedding planner can help you understand where your money is going, compare quotations and identify additional costs before they become an unwelcome surprise.

And most importantly, help you make the most of your budget.

3. Finding Reliable Wedding Suppliers

One of the loveliest things about getting married in Italy is the incredible choice of local suppliers.

From talented florists and photographers to wonderful caterers and musicians, there are so many fantastic people working in the Italian wedding industry.

But researching suppliers, checking availability, comparing quotations and understanding contracts can take quite a bit of time.

There’s also the occasional language barrier to consider.

While many Italian wedding suppliers speak excellent English, communication isn’t always as straightforward as it might be at home.

Having a planner who can help you research suppliers, manage communication and keep everything organised can make the process much easier.

That doesn’t mean you need someone to make every decision for you.

You should still be choosing the suppliers you love. A good planner simply helps you find the right people and makes the whole process a little less time-consuming.

4. Planning More Than Just the Wedding Day

One of my favourite things about destination weddings in Italy is that the celebrations often last longer than just one day.

Rather than everyone arriving for a wedding and heading home the following morning, couples often choose to spend two or three days celebrating with their closest friends and family.

Think welcome drinks or a relaxed barbecue, the wedding day itself, followed by a pool party or pizza evening the next day.

Sounds pretty wonderful, doesn’t it?

But planning a three-day celebration also means organising a few extra details.

Where will everyone stay? How will guests get to the venue? Who’s organising the welcome party? What happens if the weather doesn’t cooperate?

These are all things worth thinking about early in the planning process.

A wedding planner can help bring everything together so that your guests have a lovely experience from the moment they arrive.

And you get to enjoy spending time with everyone rather than worrying about the logistics.

5. Who Looks After Everything on the Wedding Day?

This is probably one of the most important things to consider.

Even if you’re incredibly organised and have planned every detail yourself, someone still needs to make sure everything happens as planned on the day.

Suppliers need to know where to go, deliveries need to arrive, ceremony spaces need to be ready, and everything needs to run to schedule.

And if something doesn’t quite go to plan (because let’s face it, weddings rarely run without one or two little surprises!), someone needs to be there to sort it out.

Some venues have fantastic in-house wedding coordinators who manage everything relating to the venue.

However, it’s important to understand exactly what their role includes.

A venue coordinator and an independent wedding planner don’t always have the same responsibilities.

Your venue coordinator may look after the catering, venue staff and setup, while your wedding planner can oversee the wider celebration, liaise with external suppliers and make sure all the details you’ve planned come together.

The last thing you want is to spend your wedding morning answering phone calls or worrying about whether the florist has arrived.

6. But What If You Actually Enjoy Wedding Planning?

Here’s the thing…

Not every couple needs a full wedding planning service.

Some couples absolutely love researching venues, finding suppliers, creating spreadsheets and organising all the little details.

And if that’s you, brilliant!

Planning your wedding should be an enjoyable experience, and there’s no reason why you shouldn’t be involved in as much of it as you like.

You might simply need someone to help you find the perfect venue, recommend suppliers or take over the coordination closer to the wedding.

That’s why I think flexible wedding planning services are so important.

At Pleanálaí Wedding & Events, I offer different levels of support depending on what couples actually need.

Whether that’s help finding a venue, sourcing suppliers, managing particular elements of the planning or coordinating the wedding itself, we can work out a package that suits you.

You don’t necessarily need someone involved in every single detail.

Sometimes a little guidance at the right time can make all the difference.

7. So, Is Hiring a Wedding Planner in Italy Worth It?

I think it really comes down to three things:

Your time, your budget and how much of the planning you’d like to manage yourselves.

If you have plenty of time, enjoy organising events and feel confident dealing with suppliers abroad, planning your own wedding in Italy might be something you’ll absolutely love.

But if you’re juggling work, family life and everything else that comes with everyday life, the thought of planning a wedding in another country might feel a little overwhelming.

And that’s where having some professional help can be worth its weight in gold.

A wedding planner isn’t there to take over your wedding or make decisions for you.

They’re there to offer advice, help you avoid unnecessary stress and make sure your plans come together.

After all, getting married in Italy should be an exciting experience, not something that leaves you feeling exhausted before you’ve even walked down the aisle!
